01PURCHASING + ESTIMATING

Supplier Quotation Coverage and Chase Queue

Bring outstanding equipment requests, incomplete supplier replies and the next follow-up into one working queue.

For: Purchasing leads and estimators waiting for distributor quotations.

Follow-up draftPrepared for a person to reviewREVIEW
PLANNED INTERFACE · ILLUSTRATIVE
Build plan, workflow & acceptance checks

Every follow-up is a draft. A person approves and sends it; the tool makes no supplier commitment.

Inputs to bring

  • Equipment request list and supplier assignments
  • Authorised request and response correspondence
  • Bid deadline and contractor-defined chase rules
  • Required price, validity and availability fields

Outputs to build

  • Outstanding supplier-response register
  • Missing-information checklist for each response
  • Follow-up drafts requiring human approval
  • Deadline-linked chase queue with unresolved ownership

MVP screens & workflow

  1. Request register. Import equipment requests, identify the assigned supplier and retain the bid deadline. Show requests with no supplier or owner separately.
  2. Response review. Link each quotation or email to the request it answers. Show the original evidence beside extracted price, validity and availability fields.
  3. Chase queue. Filter no response, missing information, expired evidence and unresolved ownership. Order work with contractor-defined deadlines and chase rules.
  4. Draft review + export. Prepare a request-specific clarification draft. Export the queue and selected drafts without sending email automatically.

Rules that matter

  • Treat no response, incomplete response and expired quotation as distinct states. A reply is not automatically a usable offer.
  • Preserve missing values as unknown. Never infer availability or a quotation-validity date from email receipt.
  • Ask for review when one response could match several requests; retain the candidate links.
  • Use the contractor’s supplied chase rules. Do not invent urgency thresholds or silently assign responsibility.

Acceptance checks

  • An unanswered request stays visible in the queue.
  • A reply lacking validity remains incomplete even when a price is present.
  • An ambiguous supplier response waits for review instead of being silently matched.
  • Exported drafts contain only supplied facts and no message is automatically sent.

Connections to implement: Authorised email/file upload; equipment-request spreadsheet; internal reminder queue; draft export. Read-only mailbox integration is a later build stage.

02COMMERCIAL + FINANCE

Quoting Supplier Proposal Equaliser

Put competing quoting-automation proposals on the same page, with scope, ownership and disclosed costs kept together.

For: Owner-presidents, finance leaders and commercial directors procuring quoting automation.

ScopeEvidenceClaim

Cost basisDisclosedIncomplete
PLANNED INTERFACE · ILLUSTRATIVE
Build plan, workflow & acceptance checks

Missing terms stay unknown. The tool prepares a comparison and questions; it does not invent a winning supplier.

Inputs to bring

  • Authorised supplier proposals and commercial schedules
  • Contractor requirements and current licensed-module inventory
  • Supplied usage assumptions and internal implementation responsibilities
  • Support, data retention, export, code-access and exit terms where available

Outputs to build

  • Source-linked scope, responsibility and ownership comparison
  • Three-year disclosed-cost worksheet with unpriced obligations
  • Supplier-specific clarification pack
  • Decision brief showing evidence gaps

MVP screens & workflow

  1. Requirements + inventory. Define the same bounded quoting workflow for every proposal. Record existing licensed modules and responsibilities already covered internally.
  2. Evidence matrix. Compare evidenced capability, supplier claim, exclusion and unknown separately. Link every populated term to a proposal page or schedule.
  3. Disclosed-cost worksheet. Calculate the supplied three-year cost terms by currency. Show one-off costs, recurring charges, usage assumptions and unpriced obligations together.
  4. Clarifications + decision brief. Generate questions for each supplier from the actual gaps. Export the matrix, calculation basis and unresolved items without ranking suppliers.

Rules that matter

  • An undisclosed cost is unknown, never zero. Keep incomplete totals labelled as disclosed subtotals.
  • Keep currencies separate. Conversion requires a supplied, dated exchange rate.
  • Three-year disclosed cost = one-off charges + recurring charges over 36 months + supplied usage charges.
  • Do not turn an unverified supplier claim into an evidenced capability.

Acceptance checks

  • An absent implementation fee remains unknown and prevents a complete-total label.
  • Different currencies are never added without an approved conversion basis.
  • An existing licensed module is flagged for applicability review.
  • The decision brief shows evidence gaps and contains no invented winner or score.

Connections to implement: Proposal and requirements upload; licensed-module inventory spreadsheet; deterministic calculation module; comparison-report export.

03OPERATIONS + ESTIMATING

Quoting Pilot Acceptance Workbench

Compare pilot outputs with estimator-approved references and assemble the evidence for a release decision.

For: Estimating champions, operations leaders and sponsors evaluating quoting automation.

Discrepancy registerOmissions + unsupported fieldsREVIEW
Release evidenceBuyer-defined acceptance gatesSIGN-OFF
PLANNED INTERFACE · ILLUSTRATIVE
Build plan, workflow & acceptance checks

The buyer sets the acceptance criteria. An average accuracy figure cannot clear unresolved critical issues.

Inputs to bring

  • Authorised unfamiliar test bids and document manifests
  • Estimator-approved reference outputs
  • Supplier outputs and configuration identifiers
  • Buyer-defined error severity and acceptance rules

Outputs to build

  • Source-linked discrepancy and omission register
  • Critical-error review queue
  • Preparation, review and correction comparison
  • Acceptance evidence pack with unresolved gates and regression cases

MVP screens & workflow

  1. Frozen test manifest. Select authorised unfamiliar bids, reference outputs and supplier configuration. Freeze file hashes and versions before running a comparison.
  2. Discrepancy review. Compare expected and returned fields, identify omissions and unsupported additions, and attach source references.
  3. Effort + coverage. Report coverage separately from accuracy of returned fields. Compare preparation, checking and correction time; show waiting time separately.
  4. Acceptance evidence pack. Apply buyer-approved gates, retain unresolved critical issues and capture a human release decision.

Rules that matter

  • Coverage uses the expected-reference denominator; returned-field accuracy uses the returned-field denominator.
  • Active effort = preparation + checking + correction. Keep waiting time separate.
  • Only buyer-defined gates decide pass/fail eligibility. Missing gates produce an unresolved status.
  • Retain critical issues and regression cases even when an aggregate metric improves.

Acceptance checks

  • An omitted item reduces coverage rather than disappearing from the denominator.
  • A critical unresolved discrepancy keeps the relevant gate unresolved or failed.
  • Missing acceptance rules prevent a pass result.
  • Changing the source manifest or configuration creates a new run version.

Connections to implement: Authorised test-file upload; supplier-output import; reference and timing-sheet import; versioned evaluation store; workbook/evidence export.

FREE SOURCE. YOUR BUILD.

Create it. Deploy it. Maintain it.

You control the application and take responsibility for hosting, maintaining, deploying and publishing it live.

01

Create

Build the interface, connect your authorised data and implement your review rules. Bring your own developer and AI provider.

02

BEFORE YOU DOWNLOAD

A few practical details.

Are these finished applications?

No. They are source-code starters with prompts, a minimal TypeScript example and detailed build plans. Your developer will need to build the interfaces, connectors, calculations and operating controls described in the plans.

Do I need to sign up?

No. All three ZIP files are available directly, with no account, email form or subscription required.

What will I need to run a tool?

A developer, authorised input data, an AI provider if you use the prompt example, and hosting you control. You are responsible for third-party usage costs, testing, access permissions, ongoing updates and maintenance.

Can the tools send messages or approve decisions?

The plans preserve human review. Follow-ups are drafts, supplier terms retain their evidence gaps, and pilot acceptance uses buyer-defined rules. These starters do not send email or approve commercial decisions automatically.

Can Doja help with further tooling?

Yes. Speak to a Doja consultant about bespoke tools for your workflow, and about having Doja build, deploy and maintain them for you.
