Subject: Before the next HVAC bid: check the rule, the price and the source
Preheader: Three practical checks for a faster quote that still stands up to review.
Edition: Week commencing 19 October 2026; prepared 20 October.
This week's decision: make one bid easier to verify
Before buying another automation tool, inspect a recently completed estimate. Can your team trace each material requirement to its source, each equipment price to a valid offer and each commercial exception to an approver?
If the answer requires searching someone's inbox, start there. A source-linked register and named decision owners create a clearer pilot target than “automate our estimating”.
Regulatory watch — check the current version
EPA's May 2026 reconsideration changed the treatment of qualifying older light-commercial inventory. An official historical fact sheet also carries an explicit notice that it has not been updated for that rule. Use current guidance and the controlling text before carrying an old cut-off date into a quote. Final rule, 26 May 2026 Historical fact-sheet warning
Action for the estimating lead: record the equipment category and the evidence supporting any exception. Escalate an uncertain selection instead of allowing the tool to mark it compliant.
Product watch — define what the AI is quoting
ServiceTrade's 5 May 2026 announcement describes Stella Quote drafting quotations from service deficiencies. That is a useful workflow to investigate, but it is not evidence of complete commercial tender takeoff. Supplier announcement
Action for the operations lead: ask a vendor to show your specific task, including the information still collected elsewhere.
Cost check — compare the complete job
Canaveral's public annual plan displayed $1,668 per seat/year when checked on 20 October. Treat that as a dated advertised subscription, then ask about any required data, integration and implementation costs. Pricing
Action for finance: put setup, licences, usage, staff review and maintenance on separate lines. Keep unknown costs visible.
A useful team conversation
Take one corrected bid and ask: “Would this tool have surfaced the omission, or simply produced the same number faster?” Write the answer as a test case and keep it for supplier evaluation.
Suggested next step: choose one repeated task, nominate its reviewer and prepare an authorised example for a bounded trial.
Evidence note: the regulatory and product items above are dated developments selected for this week's decision; they are not described as announcements made this week.
